Cozen O'Connor LLP has an excellent opportunity for a dynamic, full-time Regional Office Manager for our Vancouver office.

The Office Manager will be responsible for the daily management of the administrative functions required to support the lawyers and staff of our Vancouver office as well as providing assistance with various lawyer and office initiatives to help maintain and grow the Cozen O’Connor brand in Canada.
Responsibilities include:

  • Manage and oversee all administrative and operational aspects of the office including: legal assistant services, reception, client centre, facilities, other general office services.
  • In coordination with the firm’s HR department, support office hiring initiatives, employee orientation and performance management of all office business support employees.
  • Communicate policy and procedures on behalf of firm management under the guidance of the HR Department.
  • Work closely with the finance department to manage the local office budgets and ensure the legal teams are receiving the financial support they need in all areas, including client billing.
  • Work closely with IT department personnel to ensure the technology support needs of the office are being met.
  • Work closely with the Office Managing Partners to assist with projects and address the needs of the office.
  • Manage various vendor and service provider relations, facilities and marketing events.
  • Support the practice with select marketing initiatives and related projects, providing marketing support to lawyers and assisting with promoting the Cozen O’Connor brand through information gathering for community, legal and other events.
  • Act as a change agent and liaison of culture for the Firm.
  • Audit quality of workflow and workforce production of staff and reassigning workloads as necessary to accommodate business needs.
  • Assist the firm’s management team in developing and improving firm procedures for the office, building and maintaining required operations support documents and tracking and analyzing office statistics and data as required.
  • Periodically take on responsibilities that may be assigned that assist the firm beyond the Vancouver office, either across Canada or across all office of the firm.
  • Assist with the planning and coordination of firm-sponsored events.

Qualifications:
  • Minimum of seven years of experience in supervisory or management positions in a legal or other professional services environment.
  • Bachelor’s Degree in a related field.
  • Demonstrated skills in human resources, facilities management, budgeting, operations, legal management and cost control and marketing.
  • Strong interpersonal, organizational, communication, customer service and project management skills.

The salary range for this role is $115,000 - $140,000 CAD and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
Cozen O’Connor supports hybrid working from home and office based on the role and workload. This Office Manager role is a hybrid role that will be required to be in the office a minimum of four days per week with the understanding that various initiatives and workload may require the candidate to work from the office 5 days per week periodically.
