Job Title: Team Leader - Administrative Services

Job Objective: To manage the day-to-day activities of the administration team, ensuring efficient operations and compliance with HVE Healthcare’s policies and procedures. The Team Lead will also provide support to offsite offices, facilitate team meetings, assist in training and development, and perform various administrative tasks.

 Operational Management:

Oversee and manage the daily operations of the administration team.

Travel to offsite offices for coverage and general support as needed.

Ensure that all work is completed in accordance with HVE policies and procedures.

Team Leadership and Development:

Communicate expectations, goals, and feedback to the team regularly and actively resolve any concerns or issues.

Recognize and reward good performance, provide constructive feedback, and encourage professional development.

Compliance and Administration:

Ensure team compliance with HVE’s policies and procedures.

Perform various administrative tasks such as answering telephone calls, processing file information, and finalizing reports.

Assist the Admin Manager with training new team members and providing training on new procedures or procedural changes.

Support and Coordination:

Assist the Admin Manager in organizing and scheduling coverage for the head office and other HVE offices.

Assist in organizing and scheduling coverage for weekend assessments or assessments beyond core hours.

Support the Admin Manager with audits of team performance and departmental objectives.

Assist in stocking and delivering supplies to all HVE offices.

Help the Admin Manager approve time sheets and time off requests.

Provide support and assistance as required.

Respond to customer complaints/issues from claimants and assessors.

Provide support to other departments as needed.

Perform work-related errands such as office supply runs.

Ensure that assessment centres are maintained in an orderly manner.

Perform other miscellaneous duties as assigned.

What We Offer

● $60,000 Annually + annual management performance bonus

● 3 Weeks of Paid Vacation + 6 PTO days (Paid Time Off).

● Incurred travel expenses (i.e. mileage and Hwy 407, to offices other than Vaughan)

● Hybrid, working in the office 60%-70%

Required skills and qualifications:

8+ years of industry experience and 3+ years of leadership experience

Driver’s licence and ability to attend off-site offices as needed

Expertise in Office 365 applications, Google workspace, Zoom

Strong ability to adapt to new technology and software

Preferred skills and qualifications:

Excellent communication, interpersonal and problem-solving skills

Strong leadership and organizational skills

Excellent analytical and decision-making acumen

Ability to work well independently, as well as within a team environment

Ability to work in a fast-paced environment with many interruptions and multiple priorities

Organized, accurate and dependable

Emergency First Aid / CPR certification an asset

 Reporting To: Administrative Manager

 Hours: 8:30 AM – 5:30 PM Monday to Friday or 8:30 AM – 5:30 PM Tuesday to Saturday, and additional hours as needed

 Breaks: 1 hour unpaid lunch
