The Senior Accounting Clerk, reporting to the Controller, is responsible for the operational efficiency and effectiveness in the daily accounting and administrative activities. The incumbent will assist in ensuring that the company operates within budget and complies with financial policies, regulations, and financial reporting requirements.

Key Responsibilities:

  • General support to the Controller & CFO
  • Coordinate accounting and administrative activities daily amongst finance, sales, and service teams
  • Manage, direct, and control the daily financial operations and cash-to-cash processes
  • Assist with finance reconciliations, month-end end, year-end files, and other analyses as required
  • Maintain an up-to-date, complete, and systematic filing system to support bookkeeping and financial records
  • Oversee the accounts payable function for the company, ensuring accuracy, timeliness, and compliance with policies and procedures
  • Collaborate with other departments as needed to resolve any accounts payable issues
  • Ensure that all invoices are processed accurately and timely
  • Code and enter vendor invoices and deal with any discrepancies
  • Monitor vendor accounts to ensure timely payment and maintain good relationships.
  • Ensure compliance with tax laws and regulations related to accounts payable
  • Matching staff corporate visa statements and employee expense claims with supporting documents through the Expensify App for proper processing, following up on discrepancies with the cardholder
  • Responsible for Invoicing Customers and managing Accounts Receivable and Collections
  • Ensure that the sales/receivables/receipts cycles comply with Company policy
  • Support and provide sales tax reports (US and Canada) to file tax returns in a timely manner
  • Review and analyze aged A/R and A/P sub-ledgers and identify any potential issues
  • Liaise with other departments to ensure that the Company's financial processes are being followed, ensure compliance with Health & Safety standards, and assist with the new ERP implementation project
  • Work closely with the Grant Department to provide necessary Information and documents
  • Support the CFO and the senior management team with ad hoc financial analysis as required to support the business needs
  • Provide supervision/coaching to the junior accounting clerks if needed
  • Other duties as assigned

Qualifications and Core Competencies:

  • University degree in Accounting or Finance with a minimum of 5 years of financial management experience.
  • Extensive management of A/P and A/R and other financial functions.
  • Excellent knowledge and understanding of financial principles and techniques.
  • Proficiency in using financial tools, such as accounting software, Microsoft Office 365 (e.g., Word, PowerPoint, Excel), and virtual meeting event software (Teams, Zoom).
  • Knowledge of cash management and working on capital management.
  • Ability to work with little supervision in a dynamic environment.
  • Ability to work with tight deadlines and handle and prioritize many work assignments at once.
  • Excellent computer and communications skills (verbal and written).
  • High level of personal integrity and ability to maintain confidentiality.
