With a hands-on approach to dealing with project-related tasks the Project Administrator will be responsible in all aspects of managing sales administration day-to-day development administration and the resort and marketing communication tasks. He/she will provide a level of service, professional work standard, and care that exceeds expectations through organizing, planning, directing, to contribute to revenue maximization.Primary ResponsibilitiesScheduling meetings and recording minutesBreaking down the final deliverable into tasks and timeframesCreating and updating workflowsDaily and weekly data inputs into construction databaseCommunicating and managing clients expenses, condo fees and annual duesAdministering policies and proceduresJob BriefWe are seeking a motivated self-starter for a project administrator position in our company. You will be responsible, among other things, for coordinating project activities, maintaining and updating the project schedule, managing assignments, monitoring progress and communicating with the project team.The project administrator will report to the project manager and assist with preparing action plans, analyzing risk and managing resources. You’ll work closely with the project coordinator and the project team, so strong communication skills are a must. Your mission is to help the project meet quality standards and deliver on time and within budget.ResponsibilitiesHelp the project manager with administrative duties and processesSchedule meetings and keep minutesBreak down the project into doable tasks and estimate the durationAssist with planning, from start to finish of the projectPrepare and distribute project materialsImplement policies and proceduresCreate weekly workflowOrder resourcesTrack expenses and work on budget forecastMonitor progressAlert the project manager to issues as they ariseReport on team and project performanceAct as point of contact for the project team and facilitate communicationsAssess project riskCalculate project metrics, such as quality, costs, health, etc.Supervise and delegate tasks to project assistantsCollaborate on stakeholder presentationsFoster positive relationships with stakeholdersRequirements and QualificationsAssociate or bachelor’s degree requiredMaster’s degree preferredTwo years of related experienceKnowledge of project management, flowcharts, technical documentation, etc.Strong leadership skillsTeam playerDeadline-drivenOrganized and focusedComputer literateCertifications a plusOnsite accommodation is available.
