Job Overview:Corkin Gallery is currently experiencing an exciting period of growth, and as a result, we are looking to add a highly organized and proactive Personal Assistant to support our team and ensure the smooth operation of various tasks and initiatives. This role requires exceptional attention to detail, excellent communication skills, and the ability to multitask effectively.The position will require you to meet or talk to the Director each morning, and be around her the majority of the day. You will be responsible for driving if she is working on her laptop or her driving while dictating requests or instructions. You will attend meetings throughout the day, and you will be required to take notes, jot action items, deadlines, and relevant information related to clients. All of this needs to be entered into our project management software, and you’ll be required to follow-up with various team members and clients as required to provide updates to the Director.Your hours will be 9-5 Monday-Friday, Please note the hours are subject to change.In addition to the above noted items, there will be miscellaneous personal assistant items, including running errands and such (during the above noted hours).About the Gallery:Founded in 1979, Corkin Gallery is committed to the principles that move art history forward. We value the Toronto arts community, and our exhibitions are always accessible to the public.Administrative Support-Handle Director’s confidential information and documents with the utmost discretion and professionalism.-Manage email correspondence for the Director.-Manage and maintain the Director’s calendars and appointments.-Take detailed and organized notes during meetings and discussions.-Assist with running errands and handling personal tasks as needed.-Prepare and distribute emails, correspondence, memos, letters, and forms.-Act as a liaison between the Director and other members of the team.-Occasionally organize business dinners or gallery functions at Director’s home.Task Management:-Follow up on tasks to ensure they are completed regularly-Assist in the preparation of regular reports.-Write and issue email to teams and departments on behalf of Director.-Update and maintain documentation throughout ongoing tasks and projects.Travel Support:-Book travel and accommodations for Director.Skill Requirements:The ideal candidate will have a passion for art, leadership qualities, and outstanding communication abilities.-Solid background as a Personal Assistant.-Excellent client-facing and internal communication skills, both oral and written.-Ability to manage tight deadlines and use time efficiently. Must be able to work under pressure and achieve quality results; ability to handle multiple demands and competing priority and adapt to new ideas and constant changes.-Proficiency in all Microsoft Office programs, as well as Google Suite.-Proficiency in role-specific software.Education Requirements:-High school diploma supplemented with a post-secondary education within the related field.We are committed to championing policies and practices that promote diversity, foster cultural equity, and sustain an environment of inclusivity.
