As an integral member of the People & Culture team, the Employee Records & Payroll function at The University Health Network is a fast-paced department with 21 employees under the leadership of a Senior Manager and two Team Leads, with close ties to Finance. The Employee Records & Payroll Department oversees a significant payroll for approximately 18,000 employees of which half are unionized.

This role reports directly to the Payroll Team Lead and will be responsible for processing payroll for multiple client groups within UHN to ensure accurate and timely payments to employees. The successful incumbent will establish and maintain an effective schedule of payroll runs that meet legal, contractual and administrative guidelines.

Salary: To commensurate with experience and consistent with UHN compensation policy
Shifts: Monday - Friday
Status: Temporary Full-time (18 months)
Closing Date: June 28, 2024

Duties:

  • Responsible for full-cycle bi-weekly payroll for both salary and hourly employees, prepare and submit EFT payments to the bank.
  • Rotate and coordinate end to end payroll processing with other Payroll Administrators.
  • Process all areas of payroll in a timely manner including but not limited to vacation, overtime, retro pay, contractor payments, special payments and ROEs.
  • Calculating and processing all employment transactions including but not limited to salary adjustments, additional pay, stipends, shift premiums and other payouts.
  • Provide on-going technical support to managers and timekeepers using VIP-Workforce Management.
  • Investigate, validates and make corrections for discrepancies as needed.
  • Process all regular employee terminations including severance packages and salary continuations per settlement agreement.
  • Set up GL accounts as needed and process the error report for biweekly payroll run(s).
  • Comply with requirement as set out by legislations, such as Employment Standard, Canada Revenue Agency (CPP, EI, T4’s), Worker’s Compensation, Ministry of Finance, Statistics Canada, etc.
  • Process bi-weekly and monthly remittances (i.e. Tax, EHT, HOOPP, WSIB, and union dues).
  • Assist with year end transactions and adjustments.
  • Process bi-weekly Ad Hoc HOOPP remittances and reconciliations

Employee Records Responsibility

  • Input, audit, verify and coordinate the processing of all employment related transactions, such as hires, salary changes, transfers, promotions, termination, severances, retirements for both temporary and permanent employees.
  • Ensures documentation is complete and in compliance with UHN internal policies and collective agreements.
  • Follow up with employees, management and People & Culture staff as required to obtain missing information or clarification with respect to request.
  • Provides information and support to managers and administrative support staff regarding eligibilities, entitlements, People & Culture policies, collective agreements, standard procedures etc.
  • Investigates and resolves employee issues through contact with management, People & Culture staff and other departments.
  • Responds to enquiries and/or requests from UHN employees and management regarding benefits, People & Culture policy and collective agreements.
  • Responds to employee enquiries on the employee helpline.

Other Responsibilities

  • Assists with quarterly, and year-end external and internal audit processes.
  • Provides back up the Employee Records and Payroll Team Lead during vacation.
  • Other duties and responsibilities as assigned.

Qualifications

  • National Payroll Certification - PCP, required
  • A minimum of five (5) years Canadian payroll processing experience
  • Experience with in-house payroll administration, required
  • Excellent communication and analytical skills, required
  • Thorough understanding of the Canadian Payroll legislation
  • Advance Excel skills including vlookup, pivot tables, data manipulation and analysis
  • Experience on union agreements is an asset
  • Experience working in a health care environment is an asset
  • Experience with VIP is an asset
