Overview:

The Executive Administrator serves as a pivotal support figure for senior management, the board of directors, and the broader staff team. This role plays a proactive role in governance administration while facilitating communications and operational efficiency within the organization. As an integral member of a tight-knit team, the EA contributes significantly to fostering a culture of trust and collaboration both internally and within the communities served.

What you will be doing:

Cultivating and maintaining a collaborative and confidential relationship with the CEO, providing crucial support in scheduling, event coordination, meeting management, editing, correspondence, and general administrative tasks.

Acting as the recording secretary for board of directors meetings, including agenda preparation, scheduling, and meticulous minute-taking utilizing tools such as Doodle.com, Microsoft Outlook, and Microsoft SharePoint.

Ensuring meticulous record-keeping for applications and related correspondence, including liaising with First Nations on allocation reports and application deadlines.

Facilitating the distribution of Chair’s quarterly letters and annual reports to Members in coordination with the CEO and Communications Manager.

Supporting the Communications Manager by periodically reviewing web content, ensuring updated information that aligns with the needs of First Nations and organizational goals.

Maintaining timely and accurate data entry for contact updates in Salesforce, Mailchimp, and Wordpress (project story contacts).

Collaborating closely with team members to nurture positive relationships with First Nations across several regions.

What you must have:

Finding an exceptional Executive Administrator is a challenging endeavor. We seek a seasoned administrator with over 5 years of progressive experience in administrative roles, including support for senior management and/or board members. As the ideal candidate for our organization, you view your role as a strategic partner to the CEO, offering insights, expertise, and experience to inform critical business decisions. Additional qualifications include:

Demonstrated ability to manage confidential information and corporate file systems with integrity and professionalism.

Experience thriving in a dynamic team environment where multitasking and versatility are commonplace.

Proficiency in Microsoft Word, Excel, and Adobe Acrobat; familiarity with Salesforce or other CRM software is advantageous.

Previous involvement with First Nations, Indigenous communities, or rural economic development is highly desirable

Strong interpersonal skills to establish clear expectations, navigate challenges, and represent the organization positively to clients and stakeholders. A team player known for maintaining positivity in handling complex situations.

Exceptional attention to detail, organizational prowess, and motivation to manage multiple tasks and projects in a deadline-driven environment.
