We are currently recruiting for the following role in our Vancouver office: Office Manager Essential Functions: Lead the full-cycle recruitment and selection process for staff positions Ensure overall quality, consistency and efficiency of legal assistants and administrative support services in order to meet high standards of the Firm and its clients Liaise with the Information Technology teams to ensure the training efforts, software, hardware, infrastructure and desktop support efforts continue to meet the needs of the Vancouver office Responsible for managing all aspects of the delivery of facilities and office services support, working closely with the Facilities Coordinator on premise repairs and maintenance, workspace allocations, office moves, hospitality and copy center Responsible for overseeing the work of all members of the Facilities and Hospitality teams Collaborate with management, lawyers and staff to communicate key policies, procedures, and programs Coordinate the onboarding and training of new firm members Work closely with the Local Managing Partner, senior management and department managers regarding Vancouver operational and staff matters Work closely with the Chief Human Resources Officer and the Payroll and Benefits team with respect to the development and application of Firm policies, programs, and payroll/benefit matters Identify and implement employee relations practices to foster strong engagement and a highly motivated workforce Make recommendations for additional staffing and resources; manage share arrangement changes Identify individual skills gaps and training needs of all support staff Lead communication with staff through office meetings, one-on-one meetings, appropriate email and regular communication Foster a collaborative and collegial approach amongst the staff and lawyers; ensure that best practices and firm policies and procedures are adopted and shared Monitor Paralegal billable hours and liaise with Corporate Services Manager regarding best practices and the efficient use of processes, tools and technology In collaboration with national administrative department heads, oversee the activities of the business services team members within the Vancouver office Organize office social events, employee recognition programs, welcome lunches, and community initiatives for the Vancouver office Oversee policies, procedures and programs, ensuring adherence with Occupational Health and Safety regulatory compliance and reporting requirements Oversee the Fire Wardens and First Aid/CPR programs in the Vancouver Office Develop and manage the Vancouver office operational budget Qualifications: Minimum of 5-8 years’ experience in a progressive operational and Human Resources management role preferably gained in a law firm or professional services environment Post-secondary education in Human Resources, Business Administration, or a related field and a CPHR/CHRP designation. Thorough understanding of British Columbia employment standards and other relevant legislation Solid technical expertise as a Human Resources generalist Extensive experience in full cycle recruiting and onboarding Demonstrated ability to effectively manage day to day facilities and office services operations in a fast-paced matrix environment Solid experience in the areas of employee relations, HR best practices, organizational change, HR policy and processes, HR strategy, performance management, career planning, coaching and compensation Strong business acumen with proven experience in partnering with the business to understand both short and long term strategies , with the ability to translate those into HR priorities Demonstrated ability to influence others through the use of facts and information Superior conflict resolution skills Excellent communication skills Demonstrated ability to work with and through individuals at all levels of an organization Excellent computer skills in a Microsoft Windows environment Excellent organizational and time management skills Active affiliation with Law Firm management or Human Resources networks is preferred Compensation: The salary range for this position is $90, - $, annually and may vary depending on skills and experience.
