POSITION OVERVIEWWaypoint is seeking an Office Coordinator to support the management of the Metro Vancouver offices and branches to ensure smooth operations. This role will work closely with office and branch leadership, and external third parties to coordinate services and facilities for the staff. The ideal candidate must be forward-thinking, have strong organizational and time management skills, and a knack for building internal and external relationships to meet the individual needs of every location.This position is hybrid with required office days in our Vancouver office. Travel will be required to support the office administration of Metro Vancouver branches.RESPONSIBILITIES:· Coordinate, deliver, and plan for office services such as equipment, supplies, maintenance and repairs, disposal of assets, and security for multiple locations across Metro Vancouver and Vancouver Island.· Assign and maintain parking at the branch locations and notify Payroll for taxable benefit purposes.· Provide staff access to branch locations by assigning alarm codes and keys.· Work with the Accounts Payable department to ensure all invoices are processed in a timely manner.· Assist Human Resources with overseeing and implementing health and safety requirements across the branches.· Maintain a resources list of office and equipment contacts.· Assist with potential relocation of offices by working with the Leadership team to source and plan for the proper transition.· Occasional distribution of material and items across different locations.· Establish, improve, and consolidate current office administrative processes across the Company to ensure consistency.· Other administrative and office duties as required.REQUIREMENTS:· University degree or college diploma.· Valid BC Class 5 Driver’s License and a vehicle.· 2+ years of relevant experience in a fast-paced office environment.· Strong interpersonal and communication skills (written and verbal).· Individual must be a self-starter, a quick learner, and able to make decisions on the spot.· Strong prioritization skills and ability to manage conflicting demands from all areas of the business.· Must have strong customer focus, business acumen and process management skills.Waypoint is actively committed to supporting diversity, equity, and inclusion.
