Office Administrator - Tuesdays and Fridays Commissionaires is a Canadian, not-for-profit security/enforcement organization that has been in business since 1927. Our mandate is to give back to those who served and continue to serve in our communities and country. Commissionaires services over 200 sites and are located in over 110 communities across the province. Our client base runs from the federal government to local municipalities, airports, industrial sectors, and commercial/residential buildings. Based in our Kelowna office, and reporting to the Kelowna Office Lead, the Office Administrator will play a pivotal role within our team providing service to our visitors, assisting with fingerprinting and Identification services, assignment of uniforms to employees, and supporting the Human Resources and Operations departments with projects as assigned The position will see you working two days a week, Tuesdays and Fridays 8am till 4pm Hourly payrate $23 per hour, increasing to $24 after 6 months Commissionaires BC prides itself on its collaborative working style, driven by the culture and values of the organization. Major Responsibilities Directs all telephone calls and walk-in inquires – customers, clients & commissionaires Sorts all incoming mail and faxes Maintains office supplies, tracks and codes invoices Processes petty cash Arranges for general office mail outs and courier service Controls authorized access to office facilities Records weekly and monthly statistics for – training numbers for commercial & in-house, CPICS, Ink & Roll fingerprints, Electronic Fingerprints, paper use, and job inquires Arranges for commercial and in-house students to attend Basic Security Training (BST) Course and organizes BST exam date Controls Uniform distribution to employees as requested, orders and distributes to new hires, collects returned from terminated employees, maintains stock levels, records all uniform distributions Processes ID Services –company ID cards, fingerprints and CPICS for commercial and in-house clients, maintains all records Orders supplies for sites as requested Perform other office administration duties as assigned; this is an evolving position and responsibility may shift over time Education & KnowledgeEducation: High school diploma required along with a post-secondary degree or diploma in business administration preferred; Experience: Minimum 2-3 years of experience working in office administration. Skills and Requirements Have lived in Canada for the last 5 or more years in order to qualify for Government Reliability Clearance High energy, proactive self-starter with excellent customer service and problem-solving skills Proven skills in developing and maintaining effective relationships internally and externally Superior organizational skills with the ability to multi-task and prioritize under pressure and work with minimum supervision Excellent communication both oral and written with the ability to edit Ability to think strategically, act tactically and demonstrate good judgment Ability to demonstrate a high level of professionalism, tact and diplomacy Demonstrated ability to meet deadlines Intermediate to advanced computer skills Required Security Clearances Must consent to a Criminal Background Check
