Job Description

Reporting to the Senior Human Resources Manager, the Office Administrator will coordinate vendor relationships, manage office logistics and supplies while ensuring the office is well equipped and organized to provide a successful work environment. The ideal candidate will be a strong communicator with an ability to problem-solve effectively in a fast-paced environment. Given the importance of real-time collaboration for this role, please note that it is an in-person role, with an expected 5 days a week at our HQ Office.Responsibilities Welcome visitors at the front desk, manage visitor sign-in and provide visitor passesRespond to phone, in person and electronic enquiries in a timely manner, take messages when required and direct calls as neededManage shipping arrangements and company mailMaintain inventory of office supplies and arrange for servicing of office equipmentCreate expense reports, verify receipts, and other documentsAssist with training management, including tracking, reporting, organizing and filing in collaboration with the HR CoordinatorAssist in preparing HR meeting agendas, attend meetings and taking minutes or recordingsSupport HR team with basic administrative functions such as filing, preparing onboarding documents and recruitment pre-screening as well as update employee communication boardsContact suppliers over the phone and by email to place orders for office suppliesCopy, file and maintain paper or electronic documents and records.Prepare HR Purchase Orders (POs) accurately.Schedule meetings and book rooms for senior leadership and/or customersAssist senior leadership with project tasks and other duties as requiredSchedule conferences, appointments, meetings, and travel arrangements for senior leadersGreet visitors, ascertains nature of business, and direct visitors to employer or appropriate person.Coordinate employee engagement programs such as team-building days, charity events, staff events and wellness activities and/or other activities.Provide support for general labor reporting and follow-ups with agency providers Ensure compliance of company policies and procedures.Compliance with all rules & policies regarding health safety, occupational safety, environmental safety, food safety, legal regulations, company requirements, etc.Compliance with the Company's Integrated Management Systems which includes, but is not limited to Production, Quality, Food Safety & GMP.Other duties as assigned.Profile High School Diploma minimum -requiredGoal-oriented, self-motivated, and self-directedAttention to detail is a mustStrong written and verbal communication skillsRespect and understanding for confidentialityStrong organizational skills, and the ability to multi-taskExcellent working knowledge of MS Office Applications including Word, Excel, Outlook, and PowerpointWhy Join UsWe believe that the key to creating and growing a successful business is by investing in our people—some of whom have been a part of our team for over 30-years.
