If you dream of joining an organization that is small enough for you to be noticed, but big enough to provide you with a meaningful career, then we want to hear from you!Job DescriptionThe House of Commons Procedural Services is currently looking to staff the Logistics and Protocol Coordinator position.Procedural Services provides a full range of procedural and legislative services to the Speaker, Parliamentarians and Officers of the House of Commons. Our service area provides a secretariat function to committees and organizes, on behalf of both the Senate and the House of Commons and their Speaker, the participation of the Parliament of Canada in international and interparliamentary activities in Canada and abroad.The International and Interparliamentary Affairs Directorate is responsible for the coordination of the Parliament of Canada’s external relations and activities.The Committees and Legislative Services Directorate supports all committees of the House of Commons. This support includes providing advice on parliamentary procedure and practice as well as all the administrative, financial, technical and logistical assistance required for committees to meet their objectives.In this role, you will be responsible for the development of a planning framework as well as establishing the standards, procedures and coordination of a center of expertise required to deliver all aspects of logistics and protocol efficiently for high-level visits, ceremonial events, parliamentary committee activities and parliamentary conferences. You must ensure that all arrangements are delivered in a timely and consistent manner and that all financial and administrative policies are adhered to.The Logistics and Protocol Coordinator may be assigned to the Protocol team or the Conference team with the International and Interparliamentary Affairs Directorate, or to the Logistics team with the Committees and Legislative Services Directorate. Periodically, Logistics and Protocol Coordinators may be asked to rotate between these assignments.You may be required to travel, and/or work extended or irregular hours, weekends or overtime on short notice in support of these responsibilities.On-site work schedules vary according to operational needs. You will be exposed to and gain knowledge of many facets of the organization.Training and development opportunities.Work-life balance /35-hour workweek4 weeks’ vacation (minimum)QualificationsEducation:A post-secondary school degree or diploma in a discipline related to the functions of the position OR an acceptable combination of education, training and relevant experience.Experiences : Significant experience in managing multiple, simultaneous complex activities, events or projects under considerable pressure and within tight timeframes;Experience providing superior quality services to various clients, including high profile;Experience dealing with internal and external stakeholders and suppliers;Experience supervising and/or coaching staff;Experience with financial systems and budget management within organizations.Assets:Experience working in a fast paced and changing environment with unpredictable demands and at times conflicting priorities;Experience coordinating national or international activities including high-level meetings, visits, protocol events, committee activities, or operational reviews;Experience in the financial management of activities including procurement and contracting and the planning, forecasting and management of project budgets for events, visits or conferences;Experience troubleshooting and providing advice to management on protocol and logistical issues (e.g., order of precedence, travel logistics).Additional InformationWe are committed to creating an inclusive workplace by providing a barrier-free recruitment and selection process.
