The Job

The Toronto office is hiring an experienced Legal Assistant in their Commercial Real Estate practice to support and provide exceptional service to a dedicated group of lawyers. You will be expected to coordinate the workflow, reviewing the completion of document production, file management, copying/scanning work and other administrative work. You will work closely with lawyers and legal support staff to provide a high level of service to clients while also having opportunities to grow your skills as part of a successful team.

Your main responsibilities will include:

· Manage calendars, arrange meetings, and handle travel bookings.

· Coordinate office tasks such as photocopying, filing, and organizing couriers.

· Support lawyers in marketing activities and preparation of pitches.

· Handle phone queries and emails, ensuring timely responses.

· Monitor lawyers' emails and manage client correspondence when necessary.

· Liaise with support departments and communicate absences to relevant parties.

· Assist in client care, intake, and maintenance of client information.

· Arrange client meetings and address basic client queries.

· Review documents before providing them to lawyers, draft correspondence, and maintain spreadsheets as needed.

· Ensure proper time recording by lawyers and assist in billing processes.

· Produce financial reports and handle financial transactions as required.

· Provide support to lawyers and colleagues within the practice group.

· Assist other members of the firm as needed and perform additional duties as requested.

What you will bring to this role:

· Post-secondary degree or diploma in legal studies.

· Minimum 5+ years’ experience in real estate law (residential or commercial)

· Proficiency in Microsoft Office and other relevant software.

· Strong communication and organizational skills.

· Attention to detail, flexibility, and proactive attitude.

· Ability to handle pressure and meet deadlines.

· Team player with a positive and solutions-focused approach to work.
