Duties and Responsibilities:- Draft, prepare, format, and revise all correspondence and submissions for Intellectual Property Offices;- File submissions with CIPO, the USPTO, and WIPO;- Review all Pattsy information;- Contact Intellectual Property Offices to resolve inquiries, status updates, changes to paperwork and follow ups;- Manage physical and electronic files for the IP group;- Requisition new files and maintain a record of all client files and client data;- Liaising with billing analyst on prebills and invoices;- Process expense reports, outgoing fee payments, and incoming client payments;- Conduct searches for and downloading patents, trademarks, and designs, using foreign and domestic databases, as requested by the lawyer;- Additional tasks as required. Requirements:- Legal Assistant Diploma/Certificate or Law Clerk Degree;- 3+ years of Legal Assistant experience in an Intellectual Property group;- Strong Patent and Trademark experience is required;- Knowledge of IP laws, with ability to remain up to date on changes to IP legislation and practice;- Knowledge of Pattsy and iManage or comparable document management system;- Proficient in MS Office 365 (Word, Excel, and PowerPoint);- Flexibility and adaptability in responding to changing laws and practices and constructive feedback;- Ability to liaise professionally and comfortable with to clients, lawyers, and government agencies;- Ability to work independently and within tight timelines;- Strong communication skills and a team player with a positive and proactive attitude;- Ability to project manage multiple files and lawyers’ practices with a high attention to detail; and- Excellent time management, organizational and prioritization skills.
