Intellectual Property Ontario (IPON)

is a new provincial agency that will serve as a go-to resource for Intellectual Property (IP) expertise to help researchers and companies maximize the value of their IP, strengthen their capacity to grow and compete in the global market.

This is a hybrid opportunity within Ontario. We have offices in both Kitchener and Toronto where the team meets to collaborate and on an as-needed basis.

The

Intake Coordinator

will manage the end-to-end client application process to deliver a smooth and continuous application and onboarding experience.

Responsibilities:

Own the online application process including form questions, sorting applications, and answering external questions from potential clients Act as a first point of contact for prospective clients and new clients from general interest to application submission, onboarding, and then transition to the Client Success Team Review applications to determine applicant eligibility based on agency’s mandate and bylaws Complete due diligence process for applicants using various tools (i.e. Pitchbook) and research methods Manage conflict of interest (COI) process including initiating and owning the process, updating COI form questions, communicating with Management and Board members, moving applicants through the process, documenting results, escalating COIs to the Leadership Team as appropriate Communicate results to both eligible and ineligible applicants and answer any follow-up questions. Manage appeal process based on agency’s procedures Track, maintain and report on key metrics, such as number of applications received, number of clients, applicant and client profiles, etc. Maintain data integrity to assist in analysis and dashboarding Work with Communications to develop and deliver client and non-client messaging during application and onboarding process and onboarding package for new clients Recommend process improvements to improve client and non-client experiences

Qualifications:

Degree or diploma in business, public administration, data or a related field An interest or experience in the innovation ecosystem, IP, or technology sectors is an asset 3+ years of experience in a client facing role Experience coordinating and administrating business processes An understanding of data integrity, conflict of interest procedures, and Freedom of Operation (FOI) obligations is an asset Strong communication skills with the ability to build relationships internally and externally and deliver messaging with tact Project management and change management skills with the ability to manage a process with a sense of urgency Detail oriented and organized to maintain accurate information, records and data Critical thinking to identify best practices and process improvements

The annual salary range for this role is $65,796 - $89,054 plus benefits and pension.
