POSITION SUMMARY

The Human Resources Coordinator contributes to the efficacy of the Canadian Centre for Ethics in Sport (CCES) through providing support to the HR department with various activities such as recruitment, onboarding, benefits administration, and employee engagement. The Human Resources Coordinator assists in maintaining and organizing employee files, ensuring all documentation is up-to-date and easily accessible. The incumbent will also assist with research and contribute to policy updates, compliance activities and the overall efficiency of HR Operations.

Requirements

  • Bachelor degree or a college diploma in the field of human resources, administration, business development or equivalent combination of education and experience.
  • Minimum 2 years of on-the-job experience and/or performing similar duties
  • Strong attention to detail, administrative and organizational skills.
  • Excellent interpersonal skills and a positive and professional demeanor.
  • Ability to work independently as well as collaboratively in a team environment.
  • Ability to prioritize and manage multiple tasks and deadlines.
  • Ability to maintain confidentiality and safeguard sensitive information.
  • Knowledge of the Canadian sport system is considered an asset.
  • Working towards Certified Human Resources Professional (CHRP) designation is considered an asset.
  • Proficient in MS Word, Excel, PowerPoint, Outlook.
  • Excellent communication and written skills in English.
  • Functional in French language (verbal and written) considered an asset.

Duties & Responsibilities:

Recruitment/ Onboarding

  • Assist the HR Manager with recruitment activities such as creating job posting drafts, interview scheduling, creating interview packages, and conducting reference checks.
  • Update job descriptions to accurately reflect role requirements and responsibilities.
  • Coordinate the onboarding process for new employees in consultation with the HR Manager and Hiring Manager
  • Assist with the off-boarding process such as equipment retrieval.

Benefits Administration

  • Enroll new members onto benefits plan and assist them with registration.
  • Remove members from benefits plan as needed.
  • Update the benefit platform when there are changes (salary updates, address changes, bank account information changes etc.)

Policy

  • Assist with revising and updating CCES policies as required.

Records Management and File Maintenance

  • Maintain accurate employee records and ensure data integrity in the Human Resources information system (Bamboo HR)
  • Assist with maintaining the payroll tracking tool

Compliance

  • Assist the HR Manager with compliance activities such as ensuring the organization’s compliance with employment laws and regulations.

Learning and Development

  • Assist with coordinating training initiatives and sessions.

Quality Management System

  • To be aware and knowledgeable of the position’s responsibilities within the CCES Quality Management System.
  • Comply with relevant quality system processes and recommend process changes/revisions as appropriate.
  • Identify and help process nonconformities, corrective/preventive actions for position’s responsibilities.
  • Log stakeholder feedback/comments into the quality data store for tracking and appropriate follow-up.

General Support

  • Assist with employee engagement initiatives, including employee surveys, recognition programs, and events.
  • Coordinate HR initiatives including tracking progress, creating reports, and communicating updates to stakeholders.
  • Assist with other HR-related tasks as assigned by the HR Manager or Executive Director, Corporate Services.
