The Bruyère Research Institute partners with Bruyère, the University of Ottawa and other stakeholders to conduct relevant and practical health sciences research related to medical education and improving the quality of life for the aging population and people requiring continuing care.
Function SummaryThis role supports the Office of Research Services (ORS) mission to offer the most supportive and efficient environment possible so that our researchers and innovators can do what they do best - advance understanding and apply new knowledge. Reporting to the Senior Director, the Finance Manager plays a lead role in the financial health of the Bruyère Research Institute RI. In 2023-2024, RI spending exceeded $18 million across all accounts.
The Finance Manager is the lead for a small Finance team, including a Finance Coordinator and Finance Assistant. The Manager provides short and long-term financial advice to RI leadership and the Board, based on the identified strategic priorities, and serves on the Board Finance and Audit committee.
This role is responsible for:

  • Managing RI operating budget and reserve funds, along with overseeing and streamlining pre-and post-award financial activities.
  • Planning short and long-term financial, financial reporting, advising on research/innovation budgets and development or revision of finance policies/processes.
  • Exercising a high degree of initiative and judgement, such as developing, and implementing various finance plans, policies, and procedures to achieve the strategic objectives of the RI.
  • Ensuring that researchers' financial needs are met, while balancing these with corporate priorities and financial controls.
  • Main duties and responsibilities

    • Providing recommendations to RI senior executive that strategically enhance financial performance and business opportunities and develop creative solutions to effectively respond to RI strategic activities
    • Managing and overseeing financial plans including investment strategies for the balance and use of reserve funds, restricted funds for scientific recruitment and retention
    • Developing, monitoring, and analyzing annual operating budgets in collaboration with senior leadership and other members of the Office of Research Services
    • Developing business processes that mitigate risks associated with the use of research and/or innovation funds.
    • Supporting RI senior leadership in preparing budget documentation for regular reporting and presentations to the Board, Bruyère Finance, and Bruyère leadership including projections for research funding success and spending
    • Ensuring RI compliance with Bruyère - RI Service Level Agreement
    • Working with Senior Leadership and researchers to identify and implement new revenue streams, ensuring RI corporate not- for-profit status is protected
    • Keeping updated on various external granting agencies' financial reporting policies and guidelines; interpreting and applying policy to support progress of complex research financial administration matters
    • Overseeing and approving research and corporate financial reports
    • Ensuring information on various funding programs and opportunities are shared with research teams
    • Providing advice and guidance on financial matters to research and innovation teams through pre and post award processes and overall financial management
    • Monitoring, streamlining, and approving financial operations, including purchasing, invoicing, journal entries and other transactions for all cost centers falling under the RI
    • Monitoring corporate, research, and innovation cost center deficits, ensuring the research team has a plan to rectify, and reporting to senior leadership accordingly
    • Developing and implementing financial processes and practices to ensure efficient year end activities, ensuring as much is completed in advance of year end
    • Overseeing operating and research project audits, working closely with external auditors and Bruyère Finance to ensure smooth relations and exchange of information
    • Overseeing spreadsheet of current grants/awards is maintained and updated regularly until the new Research Administration System finance module is implemented
    • Monitoring operating and research cost centers to ensure compliance with all financial policies
    • Overseeing finance team staff, prioritizing tasks as necessary
    • Reviewing financial policies and revising as appropriate; communicating effectively to ORS and research teams regularly
    • Reviewing Tri-Agency policy updates to ensure RI compliance
    • Working with ORS and research teams to plan, train, and implement the new Research Administration System finance module
    • Reviewing and developing financial management efficiencies including change management plans, in collaboration with senior leadership, Bruyère Finance, ORS, and research teams
    • Developing, refreshing and/or streamlining research finance orientation and training for relevant research team members
    • Building strong relationships with other RI's to share practices and policies
    • Additional duties may be added as projects progress
    Required Qualifications and Competencies
    • Chartered Professional Accountant (CPA) with experience in Generally Accepted Accounting Principles (GAAP)
    • Minimum five (5) years of relevant experience
    • Experience working with not-for-profit or research institutes
    • Proven financial management skills including well developed analytical and problem-solving skills with the ability to generate sophisticated reports for senior leaders and Board members
    • Excellent interpersonal skills to effectively collaborate within the RI, Bruyère and with external partners (e.g. other RIs and post-secondary institutions) exercising tact, diplomacy, and discretion in dealing with varied stakeholders
    • Innovative and strategic planning of resources with ability to exercise good judgment in making independent decisions
    • Strong computer skills, including the ability to work with a broad range of software and information systems including spreadsheets, databases, presentation tools, and electronic management systems
    • Ability to work as an effective change agent
    • Excellent communication skills, verbal, written and presentation with the ability to adjust style, presentation and report for the audience
    • Highly motivated, detail orientated, organized individual with the ability to multi-task, prioritize, and meet tight deadlines
    • Strong ability to promote and foster a culture of inclusion and diversity with a sense of service in support of the RI and Bruyère's mission
    • Excellent Microsoft Office and SharePoint experience
    • Knowledge of financial management of research funding in academic settings, an asset
    • Fluent in French and English, an asset
