As a crucial member of our administrative team, the File Opening Technician will play a pivotal role in maintaining the integrity of our client database, ensuring accurate file openings, managing essential conflict checks, meticulously ensuring the completeness of client information, collaborating with the accounts receivable team for accurate financial records, and handling filing clerk responsibilities. The ideal candidate should possess excellent organizational skills, attention to detail, and a strong understanding of legal nomenclature.ResponsibilitiesClient Database and Records Managementdigital files and data.and archiving records and documents.reports; retrieving data and files on an as-needed basis.the organization of matters in accordance with bar rules and requirements.and update the master client list to ensure accuracy and completeness.and analyze client information, paying special attention to details such as contact information, addresses, billing emails, etc.any duplications or discrepancies in nomenclature, ensuring a comprehensive and accurate client database.Conflict Searchingand conducting conflicts of interest searches and processes, ensuring entities are correctly identified for conflict searching.conflict search results reports summarizing and filtering results informationin conducting semi-annual audits on conflict procedures to ensure proper procedures are followed.access questions related to Ethical Screens/Confidential Matters.and maintaining the firm’s Ethical Screens processes.with IT to ensure Ethical Screens are carried outFile Opening/Closing System Oversightthe file opening system, with a particular focus on the completeness of information entered, including contact details, addresses, billing information, etc.with Lawyers, Legal Assistants and the others to open new matters as part of New Business Intakethat all necessary information is entered into the firm's case management system (Clio) in a timely and accurate manner.with Accounting to ensure the closing of matters is in accordance with the firm’s proceduresand resolve any issues related to the file opening process.Collaboration with Accounts Receivableclosely with the accounts receivable team to ensure accurate client statements of account.on client groupings to align with accurate billing and financial reporting.discrepancies and collaborate on solutions to improve the accuracy of financial records.Filing Clerk Responsibilitiesphysical and electronic filing systems for client documents, ensuring proper organization and accessibility.and file documents as needed, maintaining an efficient and organized filing structure.in the development and implementation of filing protocols to enhance efficiency.Qualificationsdegree, diploma, or certificate.years working in a legal environment in a conflict role capacity preferredin New Business Intake desirable.with conflict, client onboarding, or timekeeper technologies desirable.with Document Management systems preferred (the current system of the firm is iManage).with legal nomenclature and terminology, an assetin using case management systems, preferably experience with Clio.organizational and multitasking skills.attention to detail and accuracy.communication and collaboration skills.Joining KRB means making the choice to be fulfilled within a team of excellence and experience.Our talent is at the heart of our organization.
