Job Description

The Executive Assistant's main responsibility is to provide administrative and organizational support to the Chief Financial Officer (CFO) in managing day-to-day tasks and at various meetings, advisory committees and executive committees.
Assigned Responsibilities

  • Take charge of the planning, organization and logistics of CFO meetings and Finance team meeting requests.
  • Ensure rigorous organization of various documents.
  • Act as custodian of document management and confidentiality.
  • Ensure the drafting of agendas and minutes, and coordinate the preparation of various presentations.
  • Collaborate with departmental assistants to share information and manage the organization of shared files.
  • Prioritize and determine appropriate action plans, mailings or responses, using judgment to reflect organizational standards.
  • Ensure travel management and accommodation arrangements when traveling outside business locations.
  • Organize and coordinate Finance team meetings and activities.
  • Ensure the integration of new Finance team members by planning the agenda, sending welcome messages, etc.
  • Prepare expense accounts and credit card follow-ups.
  • Follow-up with members of the Executive Committee.
  • Organize various mandates and special events.
  • All other related tasks.
Success Factors
  • Expertise: A minimum of 8 years' experience in a senior management support role.
  • Organization: You are resourceful and able to execute strategies and processes to complete a high volume of tasks and projects - sometimes with little information. You can prioritize and react with appropriate levels of urgency to situations and events that require a rapid response or turnaround.
  • Professionalism: You perform with the highest degree of ethics and confidentiality - given the proximity of information to which few others have access.
  • Computer skills: You are proficient in the advanced functions of the Office suite (Word, Excel, PowerPoint) and have a facility for learning and using IT tools in general.
  • Language skills: Perfectly bilingual, you speak and write French and English fluently.
