Executive Assistant (15-month contract)Location: 530 West Broadway, Vancouver BC, Canada Core hours: Monday to Friday from 8am – 4:30pm PSTThis position is required to be onsite 5 days a week.Role SummaryAs the Executive Assistant, you will partner directly with the Senior Executive Assistant to support the Executive Team. You will help to ensure the completion of key deliverables, execution of company events, and other strategic projects, as needed. You will report to the Senior Executive Assistant. Contract Coverage Details:positionfor converting to permanent full-time employment from contract coverageResponsibilitiesAssist the Senior Executive Assistant to track and help drive the completion of key deliverables Understand the continuously changing priorities of the Executive Team Assist with complex scheduling and calendar management for Executive Team Assist with coordinating travel logistics and expense reconciliation and reimbursementsProvide administrative and office support, such as accurate notetaking, spreadsheet & PowerPoint creationExercise considerable judgment, tact, and discretion in preparing, disclosing, and handling information of a confidential and/or sensitive nature Handle occasional personal arrangements and errands for Executive TeamComplete other strategic projects as neededAssist in event planning and communication of companywide eventsAssist in project management of large events, including the Annual Business ConferenceSupport the coordination of conferences and events by securing meeting locations, hotel contracts, catering and A/V requirementsAssist with collating RSVP lists, communicating with event venues, and providing on-site support Qualifications3-5 years in an administrative role2+ years supporting senior leadership or Executive teamsCollege diploma or degree in Business Administration or equivalent combination of training and experienceExperience with calendar management & schedulingExcellent verbal communication and interpersonal skillsExceptional written communication skills and knowledge of business English, spelling, punctuation, and communicationsStrong time-management and prioritization skillsExceptional attention to detailAbility to exercise diplomacy and discretion and to handle highly confidential information appropriatelyExcellent computer and typing skills, including MS Office (especially MS PowerPoint, Excel, Outlook, Word and minute-taking)Experience with Asana an asset Total Rewardssalary, quarterly and annual bonuses based on individual and company goalsemployer-paid premiums for extended health, health spending account, wellness program, green transportation incentive, various paid time-off options available from your first day, and product discountson professional development, 1:1 meetings with your leader, tuition assistance program and length of service rewardsThe Application Please submit a resume with a cover letter.Closing date for applications: Wednesday, April 24th, 2024 at 9pm PST.
