Estate Manager for UHNW Family Estate - Muskoka, OntarioWe are seeking an Estate Manager for a Lakeview Estate in one of Ontario's most sought-after year-round destination, nestled in the picturesque Cottage Country north of Toronto to manage the day-to-day operations and maintenance of a stunning property. The Estate Manager is expected to proactively manage all aspects of the estate including but not limited to property maintenance and renovations, liaising with contractors and service providers, manage household staff, coordinate small and large events, manage household spending, provide concierge services and lead additional projects as required.This position is a full-time permanent opportunity, where going above and beyond is the norm. Relocation assistance may be provided for non-local candidates.Responsibilities: Key responsibilities include but are not limited to:Manage all aspects of estate operations, including maintenance, housekeeping, landscaping, and guest services of the family’s newly renovated and existing properties.Ensure the property is impeccably maintained and presentable at all times, reflecting the high standards expected of a premier destination.Supervise and train staff to deliver outstanding customer service and hospitality to guests.Coordinate and oversee events hosted on the estate.Maintain relationships with vendors, contractors, and service providers to ensure timely and efficient delivery of goods and services.Implement and enforce safety protocols and procedures to ensure the well-being of guests and staff.Act as a liaison between guests and management, addressing any concerns or issues promptly and professionally.Stay informed about local attractions, activities, and events to provide guests with recommendations and enhance their experience.Foster a positive work environment that encourages teamwork, creativity, and personal growth among staff members.Implement and manage protocols to optimize the functioning of the Estate portfolio including developing SOP manuals, systems, inventories, schedules etc.Proactively create, maintain, implement, and administer all schedules for monthly, seasonal, and annual maintenance for the interior and exterior of the portfolio and addressing all maintenance issues appropriately.Manage all construction, renovation, systems upgrade, and landscaping projects.Schedule, negotiate with and supervise contractors and vendors, while monitoring their access to the properties.Ensure security measures and protocols are in place and that the estate is secure at all times.Responsible for hiring, onboarding, managing, developing, retaining and training staffProactively scheduling assignments, projects and estate staff based on the event calendar and when the principal and/or guests are expected.Plan and execute requirements for special events including attending to all necessary service arrangements, housekeeping coverage, catering (as required), reservations and other requests hosted on the estate.Administer and approve purchase orders, invoices and time sheets, charge accounts and expenses, and other reports and documentation.Budget and monitor property expenses, including preparing monthly expense reports for the Director of Properties.Enforce the dress code, grooming standards, and other policies and standards for all staff.Manage care of valuables such as automobiles, boats, artwork etc.Lead ad-hoc tasks, projects, and assignments, as determined by the Principal and/or Director of Properties.Qualifications:Previous experience in hospitality management, preferably in a luxury resort or estate setting.Excellent communication skills, both written and verbal.Detail-oriented with a focus on delivering exceptional service and exceeding guest expectations.Knowledge of property management systems and basic accounting principles.Flexibility to work evenings, weekends, and holidays as needed.Valid driver's and boating license.Must be highly self-motivated and engaged, fueled with a passion for excellence and continuous improvementStrong people management experience is essentialTactical experience with HVAC, security systems, and general maintenance requiredKnowledge of local vendors, contractor and trades is an assetMust have solid comfort and experience working in roles that have evolved continuously in terms to scope, scale, duties and responsibilitiesStrong Project management skills requiredMust be able solution oriented, able to think outside the box, and have demonstrated ownership and accountability and a team orientationMust be flexible with work schedules for occasional eventsConfident with a strong customer service orientationExceptional communication skillsGracious and handle difficult situations in a professional, calm solution minded mannerStrong ability to multi-task with excellent time managementDemonstrate pride and enthusiasm to fulfill requirementsSelf-starter that can work effectively without constant supervisionExceptional attention to detailGood computer skills particular with Microsoft Office productsMust always exercise complete discretion and maintain confidentialitySalary: Negotiable with company benefits.To apply, please submit your resume and cover letter detailing your relevant experience to:Pina Mercuri at: pmercuri@renardinternational.com or Yasmin Khambatta at: yasmin@renardinternational.comNote: Only shortlisted candidates will be contacted for an interview.
