We are looking for an enthusiastic and personable individual to join our team and help us provide outstanding customer service to our clients.Job DescriptionThis role will be responsible for managing the needs of our clients while providing operational and administrative support to financial advisors in a fast-paced wealth management office.The ideal candidate can think on their feet, tries to solve problems before asking for help, has great critical thinking skills and a nice to have would be a basic understanding of investment accounts in Canada.At Dunbrook Associates, you can grow in an environment where you will learn new skills, help people, and make a significant contribution to the team without the typical pressure from sales or prospecting activities.This position will assist the team in many areas of our wealth management practice, including answering inbound calls, preparing account and service paperwork, managing multiple computer systems in a paperwork-intensive environment, providing customer service both in-person and over the phone, facilitating and resolving client service requests, scheduling client meetings, generating and mailing correspondence, and completing other various tasks as assigned.Responsibilities ● Interact with clients in person and over the phone● Facilitate and resolve client service requests● Apply a working knowledge of operations/client-service processes● Arrange meetings with clients and follow up on tasks● Monitor incoming transfers and ensure they are in good order and arrive on time● Prepare and review new account paperwork and track the progress of the account opening process● Ensure paperwork is prepared and provided for all client meetings● Create to-do lists from client meetings ● Handle confidential and/or sensitive information responsibly● Open, sort and distribute incoming correspondence, including faxes and email● Perform general office duties such as ordering supplies, maintaining records, andperforming essential bookkeeping work● Assist financial advisors with daily activities, including maintaining calendars, preparingcorrespondence, and providing customer service● Prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheets and presentation software● File and retrieve corporate documents, records and reportsCompetencies ● Detail-oriented and able to work in a fast-paced environment● Highly organized and the ability to manage multiple ongoing tasks and projects● Excellent computer skills● Committed to providing exceptional customer service● Ability to problem solve● Comfortable making phone calls● Must have strong character and a positive attitude● Must be proficient with Google workspaces (Sheets, Gmail, Drive, etc.)● Experience with CRM systems is an asset● One year of financial industry experience is an asset● IFIC or CSC registration or completion is an asset● Must have accurate data entry skills with strong attention to detail● Highly dependable and responsible● Must be able to work independently
