Job Description

Reporting to the SOCC Manager, the Crew Administrator is responsible for various administrative tasks within the Flight Ops department. The Crew Administrator will be responsible for the verification and submission process of all crew payroll and expenses, as well as other administrative tasks.Personal Characteristics· Highly flexible, with the ability to respond quickly in a dynamic environment· Professional and respectful, with a positive work attitude· Timely with a high level of commitment to on-time performance and time-sensitive deadlines.· Motivated with the ability to work independently and troubleshoot software issues· Effective verbal and written communication skills· Superior time management skills, multitasking skills and the ability to prioritize tasks· Strong problem-solving and analytical skills· Willing to take initiative to make personal and organizational improvements· Able to deal with confidential information and documentation with discretion, sensitivity and tact· Highly accountable· Able to handle stressful situations in a calm and effective manner· Strong attention to detail· High level of respect, understanding and regard for First Nations communitiesKey Responsibilities and Accountabilities· Carry out administrative duties associated with hiring, onboarding and orienting flight crew new hires· Carry out administrative duties associated with flight crew payroll, timesheets, and other pay-related inquiries· Assist in preparing operating budget, maintaining inventory, and budgetary controls· Prepare and process department credit card expense reports· Coordinate and manage flight crew accommodation contracts· Assemble data and prepare periodic and special reports, manuals and correspondence· Actively participate in the Company’s Safety Management System· Perform additional duties as assignedMinimum Education, Experience and Certifications· High school diploma or General Education Degree (GED) equivalent· Must be able to obtain and maintain any applicable transportation security clearances and any additional authorizations· Previous experience with an Aviation Management Software System considered an asset (AvAIO and VMO preferred)· Previous experience in office administrative duties specifically payroll and onboarding· Previous experience working with unionized groups considered an asset· Experience using Microsoft Office Suite (Outlook, Excel, Word)· Indigenous and Cultural Awareness Training considered an assetWorking Conditions· Physically able to perform all listed job duties· Travel by aircraft and other means as required by role· Work performed primarily in an office environment· Manual dexterity required to use desktop computer and telephone· Physical location of position is only accessible via a flight of stairsMethods and procedures described or implied in the job profile may be altered to accommodate employees.
