We are currently seeking an experienced Corporate Legal Assistant to join our Head Office. The ideal candidate will support our lawyers by enhancing the efficiency of their practice, applying their well-honed skills and knowledge to our operations. We are looking for someone who is not only proficient in legal administrative tasks but also eager to continue their professional growth within a dynamic and supportive environment.


Responsibilities:


  • Perform administrative functions related to the practice of law including, file opening and closure, docket entries, client list updates, billing coordination, expense processing, and invoice payments in accordance with firm accounting policies.
  • Prepare financial statements, reports and basic bookkeeping tasks.
  • Assist clients with the management and filing of their corporate entities.
  • Prepare organizational documents, incorporate entities, diarize deadlines for renewals and file renewals.
  • Prepare and key in correspondence and legal documents, including memos, letters, emails, reports, presentations, and legal documents.
  • Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
  • Under the supervision of a lawyer, prepare and file corporate documents, prepare searches for corporate transactions, and assist in transaction closing matters.
  • Provide comprehensive administrative support, including opening and distributing regular and electronic incoming mail and other material, scheduling and confirming appointments and arranging travel, related itineraries and making reservations.
  • Coordinate the flow of information between lawyers and internal/external parties, answering general correspondence and inquiries for client matters.
  • Communicate and coordinate with government entities to obtain corporate documents necessary for corporate transactions.
  • Establish work priorities and ensure procedures are followed and deadlines are met.
  • Maintain filing system.


Qualifications:


  • Minimum of 3 years' to less than 5 years experience as a legal assistant in Corporate law.
  • College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years. Specifically, a Law Clerk diploma or completion of the Institute of Law Clerks of Ontario Certification.

  • Experience in the use of a legal accounting software, preferably ProLaw, for billing, file opening and closing matters.
  • Experience in the use of Ecore and MinuteBox is considered an asset.
  • Proficient Microsoft Office skills (Excel/Word/Outlook).
