Summary

This position supports the grant administration function for both internal and external grant programs with a focus on local programs in the Electoral Areas. This part-time position also works across the organization to maximize grant revenues to support funding projects contained in long-term capital plans and service-area initiatives.

Key Duties & Responsibilities

  • Researches grant opportunity requests from CRD staff and analyzes options.
  • Conducts ongoing environmental scans of new grants opportunities, maintains and pursues grant service subscriptions, and alerts staff of relevant opportunities.
  • Provides interpretation of how and where grants are applicable to CRD services and support to staff in navigating the grant processes.
  • Responds to ad-hoc requests for assistance from CRD divisions to support grant-related activities.
  • Provides support in the development, management, and maintenance of current and new grant registries.
  • Provides support and guidance to CRD staff who are developing grant applications to ensure compliance with grant program requirements.
  • Ensures documents are approved through the appropriate governance structure.
  • Contributes to development of grant-related reports and provides guidance to staff on grant proposals, as required.
  • Provides information and analysis services to assist staff in developing staff reports and/or other documentation to support internal and external grant programs and decision-making at all levels.
  • Assists in developing key performance indicators to enable measurement of grant performance and gathers and maintains necessary data to support these indicators.
  • Provides support in developing and continually improving business processes, forms, procedures, policies and webpages throughout the grants-lifecycle for both internal and external grant programs.
  • Assists with the outreach and educational initiatives for CRD staff on policies and processes related to grant administration including offering related training and creating tools to support the program.
  • Collaborates with key stakeholders across the organization to ensure relevant information is communicated for process continuity (i.e. grants awards, funding tracking, project progress, program reporting and integration of long-term planning).
  • Identifies and develops relationships and collaborations with internal CRD staff, external grant agencies and contacts within Electoral Areas, to support all grant administration related activities.
  • Reviews, tracks progress, coordinates, and administers the CRD internal grant programs applications, and communicates regular updates to staff on application status as required.
  • Assists in the development of tools and metrics to support the administration of internal and external grant programs.
  • Follows all policies, procedures and standards of the CRD.
  • Performs other related duties as required.

Key Skills & Abilities

  • Substantial experience with program administration and grant funding processes.
  • Strong MS Word, Excel, PowerPoint and Outlook and SharePoint skills.
  • Strong proficiency and experience in content management using MS SharePoint.
  • Strong proficiency and experience using project scheduling programs and databases.
  • Excellent communication (verbal and written), interpersonal and customer service skills.
  • Considerable experience in working in a multi-divisional organization.
  • Considerable experience in developing business process and making system and process recommendations for improvements.
  • General experience with and understanding of Enterprise Resource Planning (ERP) systems such as SAP.
  • Strong ability to collaborate effectively with diverse internal and external stakeholders and across multiple disciplines.
  • Strong ability to be a results-oriented, energetic team player.
  • Strong ability to take initiative, use independent judgement and show discretion.
  • Strong attention to detail with a commitment to data accuracy and integrity.

Qualifications

  • Degree in a related discipline
  • A minimum of 3 years' directly related experience
  • An equivalent combination of education and experience
