The Job

As a Commercial Real Estate Assistant, you will be part of a dynamic team, working in a supportive environment that values your contributions. You will support two Partners by handling a variety of administrative tasks, ensuring they are completed accurately and on time. Your responsibilities will include but are not limited to:


  • Creating documents and correspondence through transcription and copy-typing, making necessary revisions.
  • Managing expense reports, courier forms, file opening forms, photocopying, scanning, faxing, filing, and creating file folders.
  • Engaging with all firm members and clients.
  • Organizing documents for distribution, mailing, and binding.
  • Coordinating and confirming appointments, meetings, and conferences.
  • Preparing and generating pre-bills for monthly billing.
  • Booking travel and making reservations.
  • Organizing and accurately filing correspondence, invoices, and receipts both physically and digitally, and managing file storage.
  • Assisting with various projects as required.


You are someone with a strong client service approach, demonstrating resourcefulness and robust problem-solving skills with the ability to meet tight deadlines while managing multiple projects. This role will be ideal if you thrive in a collaborative, team-based environment and have sounds judgement, can exercise discretion and maintain confidentiality at all times. You should also come with:

  • Legal Assistant Diploma from an accredited institution
  • Minimum of 5 years of commercial real estate experience within a law firm
  • Strong multi-tasking and time management skills
  • Excellent verbal and written communication
  • High accuracy and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Solid transcription and proofreading skills
  • Ability to work independently with minimal supervision
  • Experience with Teraview and Conveyancer (an asset)
  • Experience with pre-billing administration (preferably 3E)
  • Familiarity with DMS systems (an asset)
