Job Description

Manage, coordinate, and execute Local Catering assignments turned over by the Sales Department, with a strong focus on Weddings and Private events. Monitor all contractual agreements pertaining to meeting/ event space, food and beverage and special concessions and guest room blocks. Effectively communicate to all hotel departments the information necessary to successfully execute the Client’s needs while maintaining an excellent client relationship, executing safe and successful events, and maximizing revenue potential to the Hotel. Role and Responsibilities Coordinate all logistics and details for events, with a strong focus on weddings and private events, for local catering bookings with less than 10 guest rooms. Maintain superb client relations and ensure that event specifications are communicated and executed for a successful experience for the convener and guests. Participate in site visits and participate in pre/post event meetings. Create floorplans that adhere to room capacities, proper flow of guest and vendor activity and food and beverage service equipment. Adhere to all health and safety guidelines and policies. Adhere to food and beverage ratios and service recommendations. Monitor and manage room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary. Review sales contracts as well as other important information, i.e., room block, cut off date, special concessions and validate with client. Monitor and enforce program deadline dates and work with clients to release event spaces not needed to maximize hotel revenues.Produce and distribute resume two weeks prior to event date and communicate any changes and updated information to hotel departments. Distribute BEOs for group and affiliates 10days prior to event. Accurately forecast food and beverage revenues within a 5% variance. Introduce and recommend house vendors as preferred vendors as determined with the revenue goal of the hotel. Establish checklist trace dates using appropriate computer programs. Generate VIP, limousine and amenity forms as required. Maintain solid and open communication with all hotel operating departments. Maintain good working relations with preferred vendors of the hotel. Maintain up to date information on program and food and beverage events in hotel’s inventory management system. Attend all department and hotel meetings as necessary. Provide on going support for group reservations agents. Qualifications Minimum of 5 years experience in a Luxury Hotel, event venue or catering company. Qualified candidates will possess:Proven performance planning events with a strong focus on weddings.Ability to communicate effectively with all levels of guests, employees and management. Energetic and outgoing, with a positive attitude, driven to provide outstanding guest service. A working knowledge of Delphi (Salesforce) and All Seated (floorplan software) is a plus. Flexible shift availability including evenings, weekends and holidays. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. The Catering Services Manager will be required to work onsite on a Tuesday to Saturday schedule as business dictates.
