Job Description

The Bilingual (French/English) Business Coordinator will provide administrative support and office coordination support for the Gentilly-1 Waste Facility (Quebec Location) operations staff and the Gentilly-1 (G-1) decommissioning staff.

The G-1 site is currently in Storage with Surveillance and is planning to advance decommissioning pending Regulator’s approval. In doing so, additional staff and contractors will be required at the G-1 site. G-1 is part of the Reactor Decommissioning Branch, in the Environmental Remediation Management Department.

Our Gentilly-1 site is nestled in a predominantly French-speaking town and while our work and documents are primarily in English, in the event of an emergency, audible alarms at the site will be in French.Emails and other communications will be in both French and English.

What will you be doing !

  • Responsible to provide administrative support to the G1WF operations and decommissioning staff and oversee the office operations: arrange meetings/teleconferences; record and issue meeting minutes; arrange travel bookings; coordinate visitor access to site; and arrange for catering.
  • Ensure company policies and procedures are communicated to G-1staff. Ensure administrative processes are established to comply with company standards.
  • Train and be qualified to prepare documentation and labelling for shipping of G-1 waste based on the legislation and regulations for radioactive material (RAM Shipper).
  • Perform clerical duties as required eg: typing; filling; photocopying; data entry.
  • Review and update documents based on facility staff feedback (specifically building emergency procedure, facility maintenance forms, but may include others).
  • File historical and new records in ATOM.
  • Prepare iReq’s for quotes and/or purchase orders for work material/tools/equipment/PPE&C and service contracts for G-1 site.
  • Ensure adequate supplies of office materials by ordering stocks and purchasing other standard items as requested.
  • Collaborate with CNL (CRL) security department for the review and completion of the security clearance process for G-1 staff, contractors, and new applications (staff and contractors).
  • Ensure security clearances are kept in good standing by collaborating with Hydro-Québec’s onsite security department.
  • Ensure a smooth workflow and safe working environment in G-1 office.
  • Participate in the hiring process for admin. summer students. May oversee the admin. summer student’s work.
  • With G-1 Group 1 Radiation Surveyors, manage information regarding Dosimetry TLDs. Responsible to ship and receive the TLDs and ensure forms are completed and send to CNL Dosimetry department.
  • Participate in special projects as required. Participate in document creation and /or review for special projects. Participate in project coordination.
  • Act as emergency steward in case of an emergency at G-1 in accordance with the CNL Procedure. Participate in emergency drills and may organize emergency drills.
  • Update the Facility Maintenance Schedule (spreadsheet) and distribute to G-1 Management.
  • Sponsor individuals on HQ and CNL sites for various occasions including public tours, CNL management, and Contractors during bid meetings.
  • Be present at the G-1 site to assist staff and assist the (Acting) Project Manager with liaising with new employees.

What we are looking for:

  • Ability to speak, read, write, and communicate in French and English.
  • Superior interpersonal and communication skills. Must have proven ability to work and communicate effectively with all staff and levels of management, external stakeholders, contractors, and regulatory agencies. Must be courteous, tactful, and have excellent oral and written (grammar and spelling) communication skills and business writing capabilities in French and English.
  • Excellent knowledge of MS Office suite; Oracle to be able to create iReqs, Foxit Phantom to be able to develop customized charts, reports, presentations, and technical documents; a proven ability to learn new applications as required
  • Ability to become a qualified RAM shipper within the first two (2) years.
  • Well organized and able to plan and perform tasks with minimal guidance. Able to work under pressure, solve problems, make decisions, and cope with change.
  • Must have the ability to work, plan, and prepare own work schedule, manage time, all under demanding and diverse situations and stressful deadlines. Creativity, innovation, flexibility, and adaptability are required to handle the multiple priorities and schedule pressures.
  • Confident, highly motivated, trustworthy, discrete, and possessing a professional attitude.

Education:

College diploma in administration field and minimum of three (3) years progressively more responsible work experience, preferably in a project team environment.
Security clearance eligibility required:

Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom.
