Job Description

The Administrative Agent is mainly responsible for providing administrative support to the clinical research unit.

This role will be perfect for you if:

More specifically, the Administrative Agent must:

  • Ensure that the required administrative material and other office supplies are available;
  • Place supplies orders, request quotes and follow up with different vendors;
  • Order lunches for new employee integrations and internal meetings with sponsors, partners and clients;
  • Lead all archiving tasks of the organization;
  • Provide administrative support to the medical secretaries and other departments;
  • Replace the medical secretaries and receptionists to ensure business continuity for planned or unplanned absences;
  • Greet individuals entering Innovaderm’s office while at the reception;
  • Ensure visitors are signing in the visitor log and are always accompanied and/or identified;
  • Write the agendas and minutes of the meetings in which he/she participates;
  • Participate in the monitoring of certain KPIs data;
  • File and maintain various CRU training documents;
  • Verify invoices;
  • Understand the principles and processes for providing excellent customer service internally and externally;
  • Support the organization in other administrative activities.

REQUIREMENTS

Education

  • Secondary school diploma or vocational studies;

Experience

  • Experience working at a reception, in administration, in a pharmaceutical and/or CRO environment will be considered as an asset;

Knowledge and skills

  • Good communication skills in French and English;
  • Intermediate knowledge of Microsoft Office (Word, Excel, and PowerPoint);
  • Fast learner, attention to details, good adaptability and autonomy;
  • Ability to prioritize different assignments and to work on several tasks at the same time;
  • Interest in sciences and clinical research;
  • Autonomy and likes teamwork.
